We love supporting community gatherings, workshops, and creative events! Whether you’re a seasoned facilitator or planning your very first workshop, we’re here to help make it happen.

Please fill out our Maplewood Studios Event Form at least 30 days before your desired date. We want to have plenty of time to plan and promote your event. The information below will be needed at the time of form submission.
You’ll be asked to provide:
Your name and contact info
Bio or facilitator introduction
Event description
Preferred date & time
Setup and cleanup time needed
Space requested (indoor, outdoor, or both)
Marketing materials (fliers, brochures, etc)

Our team will contact you to schedule a short meeting at the space. Our goal is to reach out within 48 hours. This is a great time to see the room, ask questions, and finalize details.
If you have submitted a request without a response for 7 days, please feel free to follow up with us at mwstudiosroanoke@gmail.com.

Once confirmed, your event is on the calendar! Our Maplewood Crew will coordinate with you via email for arrival and setup. One of us will always be in the building.
If you are arriving late to setup your event, please contact us ASAP to let us know your arrival time.

Free Events: Space is free — we love supporting community!
Donation-Based Events: We accept an offering to support the space.
Paid Events: We request a 30% commission of event earnings to help maintain and sustain the space

Please note that our marketing support does not guarantee participants. We strongly encourage self-promotion in addition to our posts.
Things to Consider When Planning Your Event
Format & Flow: What will the experience feel like for attendees? Will it be a circle, a movement class, a lecture, or a mix? Write it out step by step.
Your Description: Clear, inviting descriptions help people understand what they’ll receive. Include intentions, activities, and who it’s for.
Timing: Think about setup and cleanup time. Do you need extra time to create an altar, arrange mats, or set up music?
Supplies & Materials: Will you provide materials or should participants bring their own? Some supplies we have for use at Maplewood. Please let us know what you might need.
Accessibility: Consider whether your event is beginner-friendly or if there are prerequisites for participants.
Promotion: Besides our platforms, how else can you share? Email lists, social media, personal invites — all help build community.
Cancellation Policy: Cancellations made less than 72 hours in advance will incur a $50 fee to honor the time and energy invested into preparing for your event. This applies to all types of events. Please pay this fee before booking your next event.
